| Meeting Agenda | *Noticed with Agenda!* ~~~~~~~~~~~ *Rotary Club of Pune Sports City.* *Pune Sports City Rotary Trust* *Notice of Meeting* The 4th Board of Directors Meeting of the Rotary Club of Pune Sports City (RCPSC) and the 3rd Board of Trustees Meeting of the Pune Sports City Rotary Trust (PSCRT) will be held via Zoom/Google Meet at 6:00 pm on Sunday, October 27, 2024, to transact the following business: *AGENDA:* 1. *CSR Agreement*: To authorize President Sadhana Joshi to sign the CSR agreement with Rotary Foundation India, along with the designated team members. 2. *Website Update for Fundraising:* To discuss and approve the recommendation by Rtn. Datta regarding the website update with PSCRT for fundraising, specifically through Benevity. Link: https://benevity.com 3. *Service Excellence Award:* To approve the “Service Excellence Award” for Bhupendra Dhamankar, the soldier who fought terrorists during the Mumbai attack on November 26, 2007. The award will be presented on November 26, 2024. 4. *Computer Donation to Gorhe School:* To consider and discuss the request from a school in the Gorhe area for computer donations as part of the service school project. 5. *MHM Project and Swachh Update* To receive an update from Rtn. Neeraj on the Menstrual Health Management (MHM) project and Swachh Bharat initiatives. 6. *World Polio Day Celebration:* To review the awareness activities conducted during World Polio Day and approve the Public Image (PI) and awareness campaign costs, if any. 7. *Donations and Projects by Shri Nitin Kariaji:* To approve the generous donations received from Philanthropist Shri Nitin Kariaji and to discuss projects to be undertaken, including: • Scholarships 3 Lakhs • School Development initiatives 12.5 lakhs * Bal Kalyan Sanatha computers furshing costs yet to finalised. 8. *To approve minutes* of 3 rd BOD meeting held in the month of September 2024. 9. *To approve “name plate of club*“ along with others clubs at Bal Kalyan Sanstha as proposed by RCP North for cost of INR 1500/- per club from club bank account. 10. *Treasury updates* by Rtn Sushrut Sardesai 11. *Any Other Business* Any other matters to be discussed with the permission of the President. Secretary Rtn Sameer recommended informing Rotarians to arrange their own travel insurance, which will not be reimbursed. President Sadhana was authorized to sign the CSR grant agreement with RSAO for the Bhor school project in association with Momentive CSR partner. 2. *Website Update for Fundraising* • Discussion on Rtn Datta’s recommendation to update the PSCRT website to facilitate fundraising through Benevity. • *Resolution:* Rtn Sameer Gupte is authorized to conduct a detailed study on the Benevity platform with tech-savvy members. A proposal will be presented for approval by December 25, 2024. 3. *Service Excellence Award* • Approval of the “Service Excellence Award” for Bhupendra Dhamankar, a soldier who fought in the 2007 Mumbai terrorist attacks. Award ceremony planned for November 26, 2024. • *Resolution:* This will be a joint project with RCP North and RCP Baner. President Sadhana was authorized to manage finances and seek expense approval after collaboration with the other clubs. 4. *Computer Donation to Gorhe School* • Consideration of a request from a Gorhe area school for computer donations as part of the service school project. 5. *MHM Project and Swachh Update* • Rtn Neeraj Kumar provided an update on the Menstrual Health Management (MHM) and Swachh Bharat projects: • MHM Update: Distributed 1,000 kits in collaboration with e-Diamond Club. • Current fund balance: Rs. 14.6 lakhs. • Planned expenditure: • 700 kits with CYDA for 10 schools: Rs. 3.6 lakhs. • 3,000 kits for 14 villages: Rs. 10–11 lakhs (considering a proposal from R.C.P. West). • Alternative option to distribute 3,000 kits to Swachh lady workers and conclude the project by Dec 2024. 6. *World Polio Day Celebration* • Review and approval of Public Image (PI) and awareness campaign expenses for World Polio Day. • *Resolution:* Approved up to Rs. 25,000 for a bike rally, hoardings, and other promotional materials. 7. *Donations and Projects by Shri Nitin Kariaji* • Acknowledgment and approval of a generous donation from philanthropist Shri Nitin Kariaji for various projects: • Allocated funds: • Scholarships: Rs. 3 Lakhs • Doorstep Education: Rs. 3.10 Lakhs • Bal Kalyan: Rs. 2 Lakhs • Computer Lab: Rs. 3 Lakhs • Balance shortfall from last year: Rs. 0.29 Lakhs • *Resolution:* The donation of Rs. 12.5 lakhs was accepted with gratitude. 8. *Approval of Minutes of the 3rd Board Meeting* (September 2024) • *Resolution:* Approved and to be circulated among members. 9. *Approval for Club Name Plate at Bal Kalyan Sanstha* • Proposal from RCP North for a club name plate at Bal Kalyan Sanstha, costing Rs. 1,500 per club. • *Resolution:* Approved an expense of Rs. 1,500 for the club’s name plate, to include the club’s incorporation date and the name of PRID Dr. Mahesh Kotbagi. 10. *Treasury Updates* • Treasurer Rtn Sushrut Sardesai provided a comprehensive financial update for the club and trust bank accounts. 11. *Youth Activitueds:* Rtn Moiz Director Youth updated status of Rotract Clubbif MIMA . All formalities and compliance have been met by the MIMA management abdvRCPSC and The Charted is expected to arrrive in the near future. Also interact at Loyala school is being initiated as well.
