Minutes of Meeting Special Meeting of BoD ; RY 2023-24 Date & Day : 29th March 2024, Friday Time : 3 p.m to 5 p.m. Venue : De-Laval Conference Room, Pune Appeal/Advisory from BoD In view of the written and verbal reactions/responses received from a few BOD members as also other members about the tone and tenor of discussions during the 3rd Club Assembly held on 26th March 2024, a special meeting of Board of Directors of RCPSC was held on 29th March 2024. The BoD took cognizance of the deliberations in the said Club Assembly on agenda No. 3 – Updates on Treasury and agenda No. 7 - Discussion on the issues faced in the voting of the Club for recently held RID election. The BoD, after thorough discussion on the said issues and in order to ensure cordial atmosphere and Rotary spirit in the Club, unanimously decided to issue following clarifications/advisory: i. That, it is inappropriate to place in the Club assembly, discussions on any matter based on private talks between two members. Besides, the BoD also does not approve raising of any individual/collective grievance in the Club Assembly, on an issue related to non-payment of any club related expenses, without formally bringing the same to the notice of the BoD for its decision/disposal. 2 Address: Bal Kalyan Sanstha, Near Raj Bhawan, Armament Colony, Ganeshkhind Road, Pune 411007,India. ii. That, the President had erred in forwarding the RI mail with voting link of Zone 7 RID election to one Rtn Sameer Dolare who allegedly cast the vote without the knowledge of the Club. Though the club’s voting right was eventually regained and the decision to vote to the club’s preferred candidate was implemented, it has brought lot of avoidable bitterness in the club. As the President had accepted his inadvertent mistake pleading ignorance of the process and apologized in the Club Assembly, the BoD counselled him to seek guidance from the BoD or other senior & experienced Club members on matters where he finds himself inadequate in understanding or knowledge and to take due care and diligence to avoid recurrence of such instances in future. iii. That, the tone & tenor of the submissions made in the said assembly by a few senior members and usage of words/sentences like “monkey act”, “I would not have allowed any vehicle to enter if my expenses were not reimbursed”, “fraud was committed”, “conspiracy committed against the club”, “Chir haran”, “Rtn Dolare is the right hand of DG Manju Phadke”, “your rotary membership will be terminated and you will be blacklisted” et al, as also walking out immediately after addressing the assembly and refusing to listen to the President’s response were inappropriate and have caused disillusionment amongst many members. The BoD found that such expressions are contrary to spirit of Rotary, demoralizes members of the Club and therefore expressed displeasure on such conduct in the Club Assembly. The BOD therefore, appeals that all members of the club shall always maintain decorum and use restrain in language/expressions during all Club meetings and dealings so as to sustain the Rotary spirit of goodwill and friendship. ------------------------------------------------------------------------------------------------
