To approve the minutes of the previous Club assembly held on 5th September 2023. 2. Action Taken Report on the decisions of previous Club Assembly. (Annexe-1) 3. To update on Treasury – a) Status of Annual membership and mandatory Trust dues, b) Presentation and approval of annual accounts of the Club for the Rotary year 2022-23. c) Presentation and approval of annual accounts of the Trust for the Fin year 2022-23 with Statutory Auditor’s Report. d) Presentation of mid-year financial report of the Club and Trust for the year 2023-24. 4. Update of various avenues – Goals vs actuals by President 5. PE Rtn Sadhana Joshi to recommend BoD members for the RY 23-24 for the information and approval of the assembly. 6. Nominations Committee to share the outcome of selection of President Nominee Designate for RY 26-27 for approval. 7. Proposals for amendments in the Club bye-laws: Following proposals have been received from the members for amendments in the Club bye-laws. ROTARY CLUB OF Pune Sports City RID 3131 Club No. 31139 2 Address: Bal Kalyan Sanstha, Near Raj Bhawan, Armament Colony, Ganeshkhind Road, Pune 411007,India. Proposal 1: Insertion of Section 7 under Article 3 as under: "Election of Additional Trustees on the Board of Pune Sports City Rotary Trust”: The process to be followed for election of Additional Trustees as enunciated under para 17.b of the Trust Deed shall be as under: i. Club Assembly should be held by 15th June for this purpose ii. Election/Nomination process be completed by secret ballot iii. If for some reasons Club Assembly is not held and no one is Elected/Nominated by 16th June the Board of Directors should decide on Nomination of Additional Trustees by 25th June iv. In case of failure of both Club Assembly as well as Board of Directors to nominate Additional Trustees by the given date, President shall nominate Additional Trustees by 30th June. v. If no one is appointed by 30th June then the Additional Trustees as on 30th June shall continue for the next one year. Proposal 2: Amendments in the Article 7 under the Head ‘Dues: Para 1 – First line: ‘Annual club dues for each member are Rs 16,000 per annum or as may be decided in a Club Assembly.’ to be replaced with ‘Annual club dues for each member are Rs 18,000 per annum or as may be decided in a Club Assembly.’. Para 2 – Last line: ‘Currently these are Rs 8,000 per annum.’ to be replaced with ‘Currently these are Rs 10,000 per annum.’. Para 3 – Second line: ‘Currently these will amount to Rs 9,000 per annum or as may be decided by Club Assembly.’ to be replaced with ‘Currently these will amount to Rs 10,000 per annum or as may be decided by Club Assembly.’. 3 Address: Bal Kalyan Sanstha, Near Raj Bhawan, Armament Colony, Ganeshkhind Road, Pune 411007,India. Proposal 3: Amendment in the Article 15 under the Head ‘Amendments’: Under the second line of the para ‘……….. written notice to each member 10 days before the meeting, ……..’ to be replaced with ‘……….. written notice to each member 21 days before the meeting, ……….’. 8. Agenda issues for discussion in the club assembly received from members: i. Review process for selecting club PE, PN, PND, VP, trustees etc. and assign IPP, PE, PN, PND specific responsible active roles in BOD. ii. Review the need for putting in place a system for continuous follow-up of the projects for their sustainability and revival/reconnect of the old projects. iii. Review the practice of the club strategic plans for continuity. iv. Review the need for contributions to the Rotary’s promise for a polio free world in the light of the claims that India is polio free. 9. Any other item with the permission of the Chair. |
