| Minutes of Meeting | Special Meeting of BoD and Trustees of RY 2023-24 Date & Day : 23rd August 2023, Monday Time : 9 pm to 9.30 pm Venue : Zoom meeting Minutes of Meeting A Special joint meeting of Board of Directors (BoD) of RCPSC and Trustees of PSCRT was held through Zoom platform at 9 p.m. on 23rd August 2023. Following members attended the meeting: 1. Rtn Ashutosh Dubey : President and Trustee Chairman 2. Rtn Anand Kale : Treasurer and Trustee 3. Rtn Dr Rajest Pawar : Trustee 4. Rtn Shilpa Pande : Director-Youth 10. Rtn Neeraj Kumar : Director – Public Image After the initial welcome by the President, the agenda items were taken up for discussion. Agenda 1. To approve revised budget of GG project for providing 10 Dialysis machines to Symbiosis Hospital. 2 Registered Office is at: Pawar Eye Hospital & Contact Lens Clinic, 272 Parth Complex, Tukaram Navale Path, Pune 411030,India. President informed that the original approval of this GG project was accorded by the BOD of previous RY for US$ 55,000 with the contribution of our club being US$ 5,000. Subsequently, the project was revised and final approval of this GG project no 2352539 is for a project value of US$ 85,000 with our Club contribution of US$ 10,000. Decision: The project was approved unanimously. ------------------------------------------------------------------------------------------------- Agenda 2. To arrange for the funds for Club contribution for the abovementioned GG project. President and Treasurer informed that on 1st July, 23 the free balance in Trust bank account was only Rs 2.2L. This does not suffice to pay the Club contribution for this GG project which is Rs 4,20,000 (US$5,000). After collecting the Trust contribution for this year from members, accrued interest and committed expenditures the balance in the Trust bank account is not sufficient to making the Club contribution for this GG project. He requested all the members to suggest ways and means of raising the fund for the club contribution for this GG. Club Trainer explained that Rtn Sandesh Savant, Primary contact of this GG project has informed that out of US$ 10,000 club contribution, arrangement has been made for US$ 5,000 through donation from Non-Rotarian donors and other individual club donors. Hence Club needs to arrange for only US$ 5,000 or INR 4,20,000. It was proposed by the Trustees that one of the Fixed Deposits of Trust amounting Rs 5,00,000 can be encashed for making club contribution for this GG. It was also suggested that as and when fund is raised through various fund-raising events, Trust can make new Fixed Deposits with the Bank. Decision: Trustees and Board members decided to encash one Fixed Deposit of Rs 5,00,000 and make club contribution for the referred GG project.
